Isn’t my data already “backed up” in Microsoft 365?

Microsoft 365 is designed for availability and resilience, and includes features like versioning, recycle bins and retention options. However, those features don’t always cover every scenario (especially long after deletion, widespread corruption, or malicious actions). A dedicated backup gives you an independent copy and clearer recovery options.

How often are backups taken?

It depends on your needs and the platform used. For many businesses, daily backups are a good starting point, but some data benefits from more frequent protection. We’ll agree the right schedule based on the risk and how the business operates.

Can you restore a single email or file, or is it “all or nothing”?

In most cases you can restore individual items (like a single email or file) as well as perform larger restores (entire mailboxes, OneDrive accounts, SharePoint sites, etc.). The exact restore options depend on the solution selected.

Do you monitor backups?

Where appropriate, yes — monitoring and alerting is a key part of reliable backup. The last thing you want is discovering a backup issue when you urgently need a restore.
